AI Policy Guidelines
The American Horse Council (AHC) and AHC Foundation (and their respective programs UHC, EWDC, HereForHorses etc.), use artificial intelligence (AI) responsibly to enhance operations, fundraising, and community engagement.
AI is used to assist in improving efficiency and effectiveness. AHC & AHCF staff are expected to exercise extreme caution when using AI. No personal membership data, financial information, internal AHC & AHCF legal or proprietary information or records not publicly available on the AHC or related websites can be shared with AI agents or AI platforms. Prohibited data includes but is not limited to financial information other than consolidated financials on horsecouncil.org or 990’s found on Guidestar, donor records, personnel records, member information, including, but not limited to, street address, birthdates, telephone numbers, email addresses or Social Security, EIN, or Federal IDs.
AHC and AHCF have the right to reprimand, including termination, an employee for AI-produced work that the employee presents as factual, or that they deem has broken the terms of use. Considerations for Ethical Use of AI applications:
- Transparency in Use: We openly communicate how AI tools are integrated into our work processes. This builds trust and enables shared learning across the organization.
- Content Generation Guidelines: While we leverage AI for analysis, editing, and feedback, we do not use it to generate original content.
- Verification Protocol: All AI-assisted work (beyond essential functions like spell checking) undergoes fact-checking and verification by a human.
- Bias Monitoring: AI applications will be transparent and reviewed for bias. Findings will be shared with colleagues to build organizational knowledge about opportunities and limitations.
- Recordings: Any person recording a meeting or interaction must announce the meeting is being recorded and receive consent from participants. Recordings are deleted 90 days after the conclusion of the matter, grievance, or task. Meetings that include a vote may be maintained indefinitely. Federal and state laws are evolving, and mandatory disclosure is required for certain areas of public use, including social media, contracts, and publishing certain material. If you have any questions regarding use, please stamp your work as AI Assisted or AI Generated.
